BTravelMate provides a platform where clients can request and secure hotel bookings for trade shows, business travel, and group stays. When you make a reservation through our system, you enter into a direct contractual relationship with the hotel provider. We facilitate the booking process but do not own, operate, or manage the hotels.

• To book a hotel, you must fill out a request form specifying your travel dates, hotel preference, and number of rooms.
• We will prepare a personalized hotel booking form and create a secure account for you to sign and confirm the reservation.
• A reservation is considered confirmed only after you sign the hotel booking form through your account.
• You will receive a confirmation email, and your reservation details will be available in your account.
• Once you sign the hotel booking form, you will also have the option to download a copy of the signed form directly from your account.

• All prices are shown per room, per night, including or excluding applicable taxes and service charges (as stated).
• Prices are based on the information provided by the hotels. BTravelMate cannot guarantee that the hotel will not change rates unless the form is signed.
• Rates may vary depending on availability, event dates, group size, and booking time.

• No payment is required at the time of signing the hotel booking form unless explicitly stated.
• Full payment or partial prepayment is due by the deadline indicated in your confirmation or invoice.
• We accept the following payment methods:
• 1. Bank transfer.
• 2. Virtual terminal (for corporate clients)
• 3. PayPal account payments

• You can request changes (e.g. guest names, room quantity) or cancellations by contacting our support team via email or phone.
• All modifications are subject to availability and the hotel’s cancellation policy, which will be outlined in your booking form.
• Late cancellations or no-shows may result in penalties or full charges depending on the hotel's terms

• An account is automatically created when your first booking form is issued.
• You will receive login details via email with a temporary password, which you can change after signing in.
• You are responsible for keeping your login credentials secure and for any activity under your account.

• BTravelMate acts solely as an intermediary and does not control or guarantee hotel services or conditions.
• All hotel-related services (e.g. check-in/out, amenities, housekeeping) are provided directly by the hotel under its own terms.
• BTravelMate is not liable for service failures, unexpected charges, or dissatisfaction with hotel facilities.
• However, we are happy to assist you in communicating with the hotel if issues arise.

• BTravelMate is not liable for any direct or indirect loss, injury, or damage resulting from the hotel stay or your use of our service.
• We are not responsible for delays, cancellations, or force majeure events (e.g. strikes, government actions, natural disasters).
• In no event shall our liability exceed the total booking cost paid to us.

• We respect your privacy. Your personal data is used solely for the purpose of processing and managing your booking.
• Data is stored securely and never shared with third parties except as necessary for completing hotel reservations.
